Creating and Managing RFQs (Requests for Quotation)
What Is an RFQ?
A Request for Quotation (RFQ) is a formal request sent to one or more suppliers asking them to submit a price quote for specific products or services.
Creating an RFQ
Go to Dashboard → RFQs → New RFQ. Fill in:
- Product name and description.
- Quantity and unit of measurement.
- Delivery location and preferred Incoterms.
- Required certifications or specifications.
- Deadline for responses.
Inviting Suppliers
You can invite specific suppliers by name, or broadcast your RFQ to all matching suppliers. Use the Share Link feature to send the RFQ via email or messaging outside the platform.
Comparing Quotes
As quotes come in, they appear in a comparison table. Compare pricing, lead times, payment terms, and supplier ratings at a glance.
Counter-Offers
If a quote is close but not quite right, send a counter-offer. The supplier can accept, reject, or counter again. The full negotiation timeline is tracked in the RFQ detail page.
Awarding
When you are satisfied, award the RFQ to one or multiple suppliers. The winning supplier(s) receive a notification and the order process begins.
Deadline Intelligence
Sofiia AI analyses your RFQ details and suggests optimal deadlines based on product type, market conditions, and typical response times.
