Notes let you record context that does not fit neatly into structured fields — conversation summaries, buyer preferences, negotiation history, and personal observations.
Adding a Note
- Open a contact card.
- In the activity timeline, click + Add Activity → Note.
- Type your note. You can use basic formatting (bold, lists) and attach files.
- Click Save. The note appears in the timeline with a timestamp and your name.
What to Capture
- Key points from phone calls or meetings (who said what, next steps agreed).
- Buyer preferences (preferred Incoterms, payment methods, quality standards).
- Pricing history and negotiation milestones.
- Personal context (e.g., "Mentioned they are expanding into EU market in Q4").
- Red flags or concerns (e.g., "Slow to respond, may need multiple follow-ups").
Searchability
Notes are included in the CRM's full-text search. If you write "interested in organic cotton" in a note, searching for "organic cotton" will surface that contact.
Team Visibility
All notes are visible to team members with CRM access. This ensures continuity if the assigned team member changes or if a colleague needs to step in.
