Archiving and deleting contacts

Over time, some contacts become irrelevant — businesses that closed, people who changed industries, or leads that went cold permanently. Archiving and deleting keep your CRM focused on active relationships.
Archiving
Archiving hides a contact from default views without deleting their data. Archived contacts can be restored at any time.
- Open the contact card.
- Click More Actions → Archive.
- Confirm the action.
Archived contacts are accessible via CRM → Contacts → Show Archived toggle. Their activity history, deals, and files are fully preserved.
Deleting
Deleting permanently removes a contact and all their CRM data (notes, tags, reminders). Linked deals and messages are retained but unlinked from the contact.
- Open the contact card.
- Click More Actions → Delete.
- Type the contact's name to confirm deletion.
Recommendations
- Prefer archiving over deleting — you never know when a dormant contact might become relevant again.
- Use the "Last Activity" filter to find contacts with no activity in 12+ months and archive them in bulk.
- Only delete contacts that were created by mistake or are spam.
